Terms of Service

These Terms of Service ("Terms") govern your access to and use of TeamLoop, a team management platform owned and operated by Creative Design Software, LLC ("CDS, LLC," "we," "us," or "our"). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.

1. Eligibility

To create an administrator, coach, or parent account, you must be at least 18 years old. Player accounts may be created by individuals who are at least 13 years old. If you are between 13 and 17 years old, you represent that your parent or legal guardian has consented to your use of the Service and agrees to these Terms on your behalf. We do not knowingly allow anyone under the age of 13 to create an account.

By using TeamLoop, you represent that you meet the applicable age requirement and have the authority to agree to these Terms on behalf of yourself or, if applicable, the organization you represent.

2. Account Responsibilities

You are responsible for maintaining the confidentiality of your account credentials. You agree to:

  • Provide accurate and complete information when creating your account
  • Keep your password or passkey secure and not share it with others
  • Notify us immediately of any unauthorized access to your account
  • Accept responsibility for all activity that occurs under your account

3. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable law, regulation, or third-party rights
  • Upload or transmit harmful, abusive, or unlawful content
  • Harass, bully, or endanger any person, including any minor
  • Attempt to gain unauthorized access to any part of the Service or its systems
  • Interfere with or disrupt the integrity or performance of the Service
  • Use the Service for any purpose other than its intended team management functionality

4. Service Description

TeamLoop provides team management tools including player rosters, parent/guardian contact management, team messaging, scheduling, digital waivers and permission slips, team fee collection and fundraising tools, optional public team websites, and mobile applications with push notifications. The Service also includes AI-assisted features and automated content review (see Sections 4a and 4b). We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice.

4a. AI-Generated Content

TeamLoop offers optional AI-assisted features that generate suggested content, such as message drafts, game recaps, and practice plans, using third-party artificial intelligence services. By using these features, you acknowledge and agree that:

  • Content is machine-generated: AI-generated drafts and recaps are suggestions only and may contain inaccuracies, errors, or omissions.
  • You are responsible for review: You are solely responsible for reviewing, editing, and approving any AI-generated content before sharing it with your team, parents, or players.
  • No guarantee of accuracy: We do not warrant the accuracy, completeness, or suitability of any AI-generated content. AI suggestions are not authoritative records of games, events, or communications.
  • Data processing: When you use AI features, relevant content (such as game scores or message context) is sent to our AI provider (Anthropic) for processing. See our Privacy Policy for details on how this data is handled.

4b. User Content & Automated Review

You retain ownership of the messages, photos, and other content you submit to the Service, and you grant us a limited license to host, store, and display that content solely to provide the Service. You are responsible for the content you submit.

Because TeamLoop is used by teams that include minors, content submitted to the Service — including messages and uploaded images — may be automatically screened by an AI-based review system before delivery. We may block, remove, or flag content that appears to violate these Terms, and flagged content may be surfaced to team coaches or administrators for review. We do not undertake any obligation to monitor all content, and automated review does not guarantee that inappropriate content will be caught; but we reserve the right to remove any content and to suspend accounts that violate Section 3.

5. Data & Content Ownership

You retain ownership of all data you enter into TeamLoop (player information, team data, contact details). By using the Service, you grant us a limited license to store, process, and display your data solely for the purpose of providing the Service to you.

All intellectual property in the TeamLoop platform — including the software, design, branding, and documentation — is owned by CDS, LLC and is protected by copyright and other intellectual property laws. You may not copy, modify, distribute, or reverse-engineer any part of the Service.

6. Subscription Fees

TeamLoop offers free and paid subscription tiers. If you subscribe to a paid plan, you agree to pay the applicable fees. Subscription payments are processed by Stripe; we do not store your full card details. We reserve the right to change pricing with reasonable notice. Failure to pay may result in suspension or termination of paid features.

6a. Team Payments, Fees & Fundraising

TeamLoop enables teams and clubs to collect fees (such as registration fees, dues, and invoices) and fundraising donations from parents, players, and supporters through Stripe. For these transactions:

  • The team is the merchant: Payments are made directly to the team or club's own connected Stripe account. The team — not CDS, LLC — is the merchant of record and the recipient of the funds.
  • We are not a party to the transaction: TeamLoop provides the software that facilitates these payments but is not a party to the underlying transaction between you and the team. Questions about what a fee covers, refund requests, and payment disputes should be directed to the team or club that charged you.
  • Refunds and disputes: Refunds are issued by the team through its own Stripe account, and the team bears responsibility for chargebacks and disputes on payments it receives.
  • Offline payment records: Teams may record payments made outside the platform (such as cash or check). Those records are entered by team staff, and their accuracy is the team's responsibility.
  • Stripe terms apply: Payments are subject to Stripe's own terms of service and privacy policy.

7. Electronic Signatures

Teams may ask parents, guardians, or eligible players to sign documents such as waivers, releases, and permission slips electronically through the Service. By signing a document in TeamLoop, you consent to transact electronically and agree that your electronic signature is intended to be legally binding to the same extent as a handwritten signature. To support the integrity of signed documents, we record the signer's typed name, the date and time of signature, and the IP address from which the signature was made.

The content of any waiver or permission slip is authored by the team, and any dispute about its meaning or enforceability is between the signer and the team.

8. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, CDS, LLC AND ITS OFFICERS, EMPLOYEES, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, USE, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.

Weather-related notifications offered by the Service are informational conveniences based on third-party data, may be delayed, incomplete, or unavailable, and are not a substitute for official warnings or for the judgment of coaches and event organizers on site. Decisions about whether to hold, delay, or cancel an activity are solely the responsibility of the team.

Our total liability for any claim arising from these Terms or the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim, or $100, whichever is greater.

9. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE.

10. Termination

We may suspend or terminate your access to the Service at any time if you violate these Terms or for any other reason at our sole discretion. You may delete your account at any time from the Settings page in the app, or by contacting us. Upon termination, your right to use the Service ceases immediately.

11. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, without regard to its conflict of law provisions. Any disputes arising from these Terms or the Service shall be resolved in the state or federal courts located in Delaware.

12. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by posting the updated Terms on this page with a revised "Last Updated" date. Your continued use of the Service after changes constitutes acceptance of the updated Terms.
